Challenge

IPTO needed a comprehensive Performance Management System tailored to its organizational structure and strategic goals. The existing evaluation process was inefficient, lacked automation, and did not align with the company’s broader digital transformation strategy. The challenge for this was to develop a comprehensive and secure Performance Management System (PMS), ensuring it:

  1. Aligns with IPTO’s Digital Strategy – The system had to fit within the company’s broader digital transformation roadmap.
  2. Supports Complex Organizational Structures – It needed to dynamically assign evaluators based on the organizational hierarchy while allowing for manual adjustments.
  3. Ensures Data Integrity & Security – Integration with SAP SSFF as the single source of truth while maintaining cybersecurity compliance.
  4. Enhances Transparency & Efficiency – Providing clear evaluation criteria, historical tracking, and multi-level approvals.
  5. Facilitates User Adoption – Training employees and administrators to effectively use the system.
  6. Provides Customization & Reporting – Enabling custom development for evaluation processes, feedback collection, and real-time data analysis.

The project had to balance technical complexity, security, usability, and business requirements within a strict 6-month timeline.

Approach

To ensure alignment with the organization’s digital transformation goals and operational needs the project followed a structured development approach divided into key phases:

1. Assessment & Analysis

  • IT Landscape Review: Conducted a comprehensive evaluation of IPTO’s existing IT systems, including SAP SSFF and the organizational structure.
  • Business Process Mapping: Analyzed performance evaluation workflows to identify gaps, opportunities for automation, and areas for customization.
  • Stakeholder Collaboration: Engaged with HR, IT, and management to capture detailed functional and technical requirements.
  • Custom Software Development: Designed a tailored PMS with goal-setting, multi-level evaluations, and automated workflows.
  • Integration with SAP SSFF: Ensured seamless data exchange and alignment with IPTO’s organizational hierarchy as the single source of truth.
  • Security & Authentication: Implemented user authentication via Active Directory to meet cybersecurity standards.
  • Agile Development Process: Followed an iterative approach to build, test, and refine features in phases.
  • Environment Setup: Deployed the system across three environments – Development (DEV), Testing (QAS/UAT), and Production (PROD).
  • Comprehensive Testing: Conducted unit, integration, and user acceptance tests (UAT) to validate performance, accuracy, and compliance.
  • User & Admin Training: Delivered hands-on training for departmental users, along with system administrators.

The project was successfully completed on time and is currently in active use at IPTO, delivering tangible benefits across performance management. With real-time data insights and historical tracking, management can make informed HR decisions, fostering stronger alignment between performance and organizational goals.
